Unused Envelope numbers

When I ask for the report of "unused Envelope numbers" a number is listed but then when I assign that number to a member it says "there are offerings posted to that number and those amounts would be applied to that number." When I run an offering statement on that number it says there are no posted amounts to that number. I am confused. How can I find out if there really are amounts already posted to that number and how can I get rid of them, or should I even delete them? I need to free up more numbers and I have had this same experience in the past when trying to give someone an offering number.

That means you have a problem in the data. There are contribution records posted to that envelope number, but no one in membership has that envelope number assigned.

This usually is caused by restoring a contributions backup from some other computer, when you don't have the envelope numbers in sync between the two.

Do you have any record of who those "orphaned" envelope numbers in Contributions belonged to previously?

How do I retrieve a record of any "orphaned" postings? Everything is posted that I know of.

I believe Zorak was talking about 'orphan' envelope numbers. Unfortunately I'm in North Carolina at Montreat, and don't have access to my test computer to give you better advice.

The following reports will show those with the name "Envelope number not found":

- Posted Contributions
- Monthly Contribution Totals
- Fund Totals By Envelope

There may be others, but that is all I could come up with at the moment. If you run the Posted Contributions report and choose alphabetical as the sort option, then any unknown envelope numbers will be listed at the end, just before the 99999 envelope number (contributions from deleted profiles). It may not give you every number you are looking for if you run the report only for year to date. Depending on how long the church has been using PowerChurch, there could be contributions from years ago that are tied to these envelope numbers.

Run the report for the whole time you have been using PowerChurch. I ran it for a date range of 01/01/0001 to 12/31/9999 for every possible date. It will make a long report, but you can skip right to the last page and start working your way back. The Posted Contributions report will give you a detailed list of dates, amounts, and funds, hopefully with check numbers, and that may help you track down who the contributions actually belong to.
