Contribution Reports problem.

Post by Otto »

System: Windows XP running PC-9 fully updated.
Contributions posted to Contribution module only.
I hope this is not a repeat, I could not find it elsewhere.

Our secretary being new to the program was not sure how to move a contributor with donations of $260 in 2005 and just deleted the profile and then reentered the person with a new number and and reentered the $260. My problem is that the deleted amount of $260 now shows in all reports where envelope #99999 can't be bypassed such as Funds Reports, Condensed Copy for Office and so on. I can't call up #99999 and enter a negative number, so does anyone know of a way to empty #99999 so this dublicated amount is not added to the General Expence fund in the 2005 reports?

You can delete all the contributions under 99999, but you'll need to reenter them. To do this, you do the following:

1) MAKE A BACKUP!

2) Utilities -> Database Manager

3) in "Command" type the following:

Code: Select all

use co (enter)
delete for env_no = 99999 (enter)
4) Utilties -> Reindex -> All of the above files

You'll need to reenter all deleted contributions to their correct envelope numbers in order to get your totals back, but that should do it.

Thank you Zaphod, it worked perfect. PC-9 is a very good program and it appears that the Tech support does not take a back seat in backing it up.
