Updating Pledges

We are running v.9 of Powerchurch plus. We are one year into a 3-year Stewardship Campaign and at the one year anniversary we offered our members the opportunity to update their pledges - either to increase or decrease their original pledge amount. I have two questions related to this:

1) How do I updated the pledges in PC+ and still be able to track their original pledge?

2) We have a company that is helping us sort through the data of this campaign. About once a quarter I have to send them a report that tracks the giving of everyone who pledged. If I make changes to the pledge amouts, how can I assure that the data they are receiving is still accurate?

I'm not sure if my question makes sense but any help that you can offer woud be greatly appreciated. Thank you

1. What you should do here; and I'm assuming that the contributor is doing something like pledging $20 a month for the first year, then you're allowing them to change the pledge for years 2 and 3, is to update the original pledge to end at the end of the 1st year, then create a new pledge entry at the new amount to cover years 2 & 3.

2. Again, if you do what I mentioned above, and send the company pledge info from the beginning of the campaign that lists all the pledges made by each contributor to this fund/campaign, they should be getting all the data they need.

Neil, your suggestions works well if a contributor is increasing their pledges but I have 2 unique situations that I need help with. They both involve if someone is decreasing their original pledge amount.

Ultimately we need to be able to know the original total pledge amount and the new adjusted total pledge amount (for all contributors - increases, decreases and new pledges) across the 3 years. So if someone is decreasing their pledge I'm not sure how I can best capture the data most accurately:

1) They are decreasing their pledge and have given nothing against their previous pledge - would I just delete the old pledge and start over as if they are making a new commitment?

2) They are decreasing their pledge (some are significant decreases) but they have given something to their original pledge - the issue here is that the total originally pledged will NOT be coming in although some of it might have come in already. For example we had a contributor pledge $11,700 annually for 3 years at the start of the campaign. Now she has decreased her pledge to a one time gift of $2000. She gave about $100 towards her original pledge but the rest of it is not going to come in so how do I note that in PC+ because we now have $33,000 we thought we were getting that we are not going to get. This is one example of at least a dozen or more that I have this problem with.

I hope I am making sense here. Thank you for any help anyone can offer on this situation.

What I would do is this:

before you create or change anything, get a current pledged total from the system. Print it off and hold a copy, or save it to a file. Then I'd do your changes and pull the new total. That will give you your original and your changed totals.

As far as the situations listed above, I'd to this

Situation 1: I'd change the current pledge to reflect the new pledge. No need to change dates unless you want to.

2: Change the original pledge to reflect the amount that was given toward that pledge. That is: if they gave $100 toward the pledge, change the total amount to a one time of $100. Then create the new pledge.
