Posted Contribution Report not Matching Fund Accounting Post

Hi,
We posted contributions on a specific date and had a posted them to fund accounting and ran the posted contributions report and agreed the numbers matched our deposits that day. We then posted to Fund Accounting, but when I look at the contribution in fund accounting for that day is it missing one specific line item for exact $ amount. So, the Posted Contribution report is correct but not when it went to Update Fund accounting and I didn't get the error report that something wasn't linked or wouldn't post? I have double checked to make sure that the contribution was set up to post to the right income account and it is and it is marked active. Why would it not transfer to update fund accounting? This is the only one that has done this since January. This line item was taken is donation in cash and later that day paid out to the group accounts payable as expense for that group. The fund pledge/unpledged report also matches the contributions posted report and shows this line item. But not in posted transactions contributions fund accounting report?? HELP?

If the Contribution Funds are setup properly, pointing to the correct accounts in Funds Accounting, then the transactions created for posting to Funds Accounting should be correct.

You have to remember, the ONLY connection that Contributions has to Funds Accounting is the creation of transactions that go into the Unposted Transactions queue in Funds Accounting.

So you can have everything correct in Contributions, but if the transaction is not created it will not be sent to FA for eventual Posting.

If the Posted Transaction in FA is missing that one income entry, I would take a good look at the Contribution Fund in Contributions Fund Setup. Make sure that it has an Income and Checking account listed.

Since this is the only time it happened, I would just enter a correcting transaction in Funds Accounting. That said, I would definitely check the created transaction in Funds Accounting Unposted Transaction queue the next time this Contribution Fund is used.

Thanks Neil,

I did check to make sure it had a credit and debit account properly set up and it does.
I will make the transaction adjustment in fund accounting and check unposted next time I do use this one. I am at a loss on it for sure. Don't know why the posted transactions wouldn't match or I didn't get an error? Makes me feel like I have to double check every unposted and I usual don't but now take the extra step to be safe.

FWIW .. you really SHOULDN'T have to check, but I would do so the next time this fund is used to be on the safe side.

I had a problem with a love offering that wasn't expending a fund. I corrected it and did a backup. Then I made a test transaction to recreate the problem. Since the test didn't work, I looked for the problem. Four hours later I found the love offering expense was posting Fund 02 Spice Girls, instead of to Fund 01 Gerneral Fund.

I suggest you do a backup recreate a test transaction. If it doesn't work, you have some detective work to do. In my case running balance sheet reports and comparing them would have helped if I would have ran the reports on both funds. Good luck!

Edited to add.

If you find the error, write it down and restore your backup. Then correct it, do another backup, and retest. If the retest goes well, restore your last backup and sigh in relief.
