Correcting A Posted Contribution

We have a campus college... someone overpaid their tuition by $200 in Contributions module (no contribution credit), and requested a refund. We wrote him a check out of AP for the refund. Now his Posted Contributions still show he has paid $200 more than he has, after the refund. How do we correct posted contributions, without posting a $200 credit in contributions, which will make our bank another $200 short? We need to adjust the amount paid toward this tuition, without bringing the income down another $200, since he was refunded in AP module.

Quick note, its always better to start a new topic, especially one that has a different set of circumstances.

This is very easy to fix. You're going to have to reverse the Contribution, but then only post the reversal to the Contribution Module. In this example, I'm assuming you have v11.55 (I think v11.1 has this also):

1. Post any unposted Contributions to Funds Accounting. This will clear out the queue for the next part.
2. Find the payment in the person's contribution record, under the Contributions -> View Posted Contributions menu.
3. Highlight the payment then click the Reverse, then click OK when the Confirm pop-up appears. Another pop-up will appear to let you know it was reversed, and you should then post it.
4. Head to Contributions -> Post Contributions.
5. On the Post Contribution screen, select Only Update The Contributions Module from the pull down list. This will post the reversal to Contributions only, and updates the records there.
6. Run a Contributions Statement to verify the reversal.

As usual, I advise doing a Powerchurch utilities BACKUP before doing any advised actions so you can back out if the change is not what you expected to see.
