Contributions tied to wrong pledge

Wondering if anyone has had this problem. Each year we enter the pledges for that year under the same fund number with new date range. It had seemed to work fine in the past. It appears some of the contributions entered in early 2005 have ended up being associated with the pledges made in 2004, even though they are outside the date range for 2004 pledges.

Only thing I remember being different for 2005 is that we didn't enter the 2005 pledges until about mid-Jan in 2005. We did attempt to go back and associate the early 2005 contributions with the 2005 pledges. However, we didn't catch then that some of the early 2005 contributions had been associated with the 2004 pledge. We normally don't list pledges when we send out contribution statements.

Only place it shows up is when we do the report that shows actual versus pledge. The actual contributions for 2005 are low because the ones associated with 2004 pledge don't show up on this report. All of the other accounting reports are OK since they use the date range.

I know how to fix, I deleted the 2004 pledge and then searched for contributions to apply to pledges for the 2005 year and it changed all of the 2005 contributions to associate with 2005 pledge.

After all that, question is about entering the new year pledges for 2006. Do we need to make sure that is done before we get any 2006 contributions? Also, is it necessary to delete the 2005 pledges after the year is completed?

Thanks in advance for any help. We are using Version 9.0 with all the latest maintance releases loaded.

We've already had people give offerings for their 2006 pledges.

There is an easy way of doing this:

1. Make sure the pledges are in the system before the start of the year.
We put all pledges in the system as our Stewardship Drive goes on. We can track who did and did not pledge using the database, print out labels, and get totals without having to refer to spreadsheets or paper lists.

2. Make sure your congregation know that they need to let the contributions count team understand that the pledge is for 2006. Either by writing on the envelope or in the note location on a check.

2. When whoever enters your contributions into the system sees this notation on the check or the envelope, they must click on the 'view pledges' magnfiying glass on the manual entry, or press 'P' on the check reader screen to lookup the pledges. They can then ASSIGN the pledge period against the check at that time.

The hardest part in all this, is getting the congregation to mark the envelopes or checks.
