I recently did a "restart accounting". Now, I would like to clean up the dozens of unused contribution fund numbers.

I understand that there once was some use for these accounts. Some are many years old and haven't been used since. But they are not needed now and are clutter.

Isn't there any way to clean up unused contribution fund numbers. I can't even reassign the number to be something way out-of-range, like 99990.

I understand the philosophical answer - we need to maintain contribution records for the IRS. But surely there must be a practical solution as well.

First off, contribution funds have nothing to do with Funds Accounting funds. The only connection is the relationship that is setup when you setup the contribution fund. This relationship is then used to create the Funds Accounting transactions when you post contributions. As you can see, there is no direct link to Funds Accounting.

Secondly, if you've not used the fund for the period of time the IRS says you have to maintain the records, and you have not cleaned up old data, now may be the time to do so. Once you clean up that old data, you can then delete the contribution fund.

So ... if you have data from 1999 thru 2008, I'd get rid of 1999 thru 2005 (I believe you have to maintain data for 3 years). If the fund was not used after 12/31/2005, you should now be able to delete it.

Finally, you didn't say what version of Powerchurch you are using. Powerchurch 10.4, with the latest maintenance release, will allow you to change the Contribution Fund numbers.

Thanks for the quick response. I do have 10.4 with maintenance release, and it does re-assign contribution numbers. I neglected to look at that in the menu choices.

I deleted old data up to 2005, and got rid of clutter.

I would suggest printing to PDF the most detailed reports you can BEFORE deleting data; and of course keeping a backup of your system prior to the deletion. That way the information will always be available... just in case questions about the past come up.

I would also like to get rid of fund numbers we don't use, but it says
"This contribution fund cannot be deleted because data exists for this contribution fund."

This data is really old. Is there ANY way of getting rid of fund numbers you don't want to use anymore?

1. Delete old data,
2. You can then delete old contribution funds
