Contributions posted under one date but need to refund one

Post by lifechurch »

Hi. I posted to fund accounting a bunch of contributions and had them all post under one date in February (although the actual date I posted them was in June ... playing catch up on past months).

One of the contributions needs to be refunded because of a stolen or lo0st checkbook and a canceled account. The individual made a new contribution but it was for a different amount to cover the canceled check and more so it was not an even exchange. All this to say I need to refund the contribution through the contributions module by issuing a negative amount with the same check number and date as the original donation that now needs to be removed.

So here are my issues:

1) The original contribution was part of a group of contributions that were all posted under one date but I only need to refund one contribution that was made as part of that transaction. The date that they were posted on under fund accounting is not the same date as the individuals check if you look under the view posted contributions so I am not sure which date to use if I can refund just the individuals contribution even though it was posted to fund accounting as part of a group. (The individuals contribution was for $50 but the whole transaction was for three hundred and something)

2) The date showing in the view posted contributions for the check is the actual date I entered it into the system (for example in June 2009) but the date I posted the check for was part of Feb transactions and that is the month it has been posted to Fund accounting for. Hope that makes sense. Which date am I supposed to use when crediting back the contribution? I have the check number and the amount in the view posted contributions module but the posting date is referencing the actual day I entered it in the system not the date of the check or the posting month.

So can this be done or do I need to wipe out and re credit all the contributions for that transaction?

The date showing in the view posted contributions for the check is the actual date I entered it into the system (for example in June 2009)
You should enter the check date, the same as you described in the quote above.

That way, the contributor's record will be accurate.

Given the choice between an accurate contributor's record, or a perfect match in Fund Accounting, I would choose the former.
