renumbered envelopes
Is it possible to track envelopes that have been renumbered? I need a report that shows the original envelope number and the number it has been changed to.

There is no separate report, you would have to go into the Contributions module's Audit Log, and either print or view the audit log.scottlad29 wrote:Is it possible to track envelopes that have been renumbered? If you view the log, you would need to highlight every line in the log that says Envelope Number Changed then view the old and new number in the data box at the bottom of that dialog screen.
You could print the report, but I must warn you, it can be very long. The one I tested with here is over 17 pages, and that's just from 2008.
You may want to do what I did, find one of those print to PDF type of utilities that set themselves up as a printer on your system, then print to that. It will create a PDF file that would be much easier to review as each audit log line giving the date, who, and general description of change, is immediately followed with the details of what was changed, such as for envelopes: It lists the old number, who it belongs to, and the new number.

Right click on the grid headers to filter the column you click on to the range you want. Then the report will be smaller.

I went to the Contributions module but could not find the Audit Log. Can you tell me where it is? Also, what type of utility did you use to "print to PDF"?

You can download free PDF printers online. I have used DoPDF with great success. Do a Google search for "free pdf printer" to see the options. They install as a printer on your computer and create a PDF file instead of printed output.

(Setup seems to me to be an odd place for the audit log, but that's just me.... The first place I looked was Other Output....)
I don't know your circumstance. When I am ready to change envelope number assignments at the end of the year I run the envelope number report (sorted alphabetically) and save it as .xls. I change the envelope numbers I need to change and run the report again and save as .xls. Then I combine the 2 .xls worksheets into 1. This may be more work than simply running the audit log, altho' once you put that into .pdf format you can't really manipulate it (at least, I can't with the pdf virtual printer I use).

I don't know what kind of volume of envelope number changes you do. Since 1993, I've never resequenced our numbers from scratch. What I do to keep track of changes throughout the year is to keep a running Envel Numbers Log in an xls spreadsheet showing date, name, old number, new number. I keep this in envel number sequence and keep a blank row between each name and print it out once or twice a year. That way I just write in changes, new people, deceased, and transfers out, as they go. The record goes back several years. We have 300 active envelope numbers plus visitors.
