BIG! Oops – Changed Fund Numbers By Mistake
HELP! I have changed the church’s General Funds account to the GA’s Project Fund when I added the contribution fund account (in other words our yearly general fund reflects $100.00 and the GA’s Project Fund has $201,000 in it.) NOT GOOD! Here’s the problem, I’m using Version 9, and it is not cooperating at all! I have tried to cancel the General Funds, but because both funds have money POSTED to them, PCP will NOT allow me to make any changes. I have to change these accounts back and have no idea how to do this. I’m somewhat illiterate when it comes to PCP, so if there’s a way to do this PLEASE give detailed information.

From version 8.5 and up, you should be able to change the name and the number of the funds to what they should be.Kevin Kelly wrote:HELP! Versions 10 and 11 will actually allow you to merge two funds together, but older versions unfortunately do not have this functionality. As it sits currently, you will just have two General Funds out there, which will both show on people's contribution statements, if you have entered data against both of them.

That seems to be the case in Version 9. I have tried to change the Fund Account Number (185 to 1), but when I select SAVE I get the following message "Contribution Fund Number is Already in Use" or if I try to delete one of the funds, I received the message "Contribution Fund Number Cannot be Deleted as it has Funds Associated with it".
I assume since I has already posted the funds the Automatic Transfer at Posting Time (within the lower box) is useless.

OK .. you'll have to switch numbers. Since you want to change fund # 185 back to 1, you'll have to first change #1 to a number not being used, such as 186. Then you can change the fund 185 to 1, and if you want change 186 to 185.Kevin Kelly wrote:![]()

You could also restore a backup taken prior to the mistake. You would have to re-enter contributions entered after that backup was made but would get the fund numbers back correctly.
