Contribution double posted

Post by George »

Our Admin. Asst. entered the contributions from a recent Sunday. The procedure she uses is to enter all the contributions for a given fund for the specific date then enters all for the next fund and so forth. When she has entered all the contributions for that date she runs an "Unposted Contributions" report and verifies that each envelope matches the data on the report.

During the verification process she noted that an entry for a General Fund contribution for one envelope number was not present on the report and added that data through the Enter Contributions screen. She did not run another unposted contributions report but proceeded directly to Posting the Contributions (these records only, we do not use the accounting functions).

She then ran a Posted Contribution report as her final verification. The transaction she had entered for the missing General Fund contribution now showed up twice. ( She has since gone back and used a - $ transaction to correct the information which will print out on the families contribution statement)

Why did this entry show up twice; or if the original entry was present in the system why did it not show up on the Unposted Contribution report?
(We are running v10 and have installed the most recent updates.)

I've not seen anything like this in the past for version 9 or 10. I suspect in this case it may be a user error.

FWIW ... the admin does not have to enter each fund separately, she can enter the data from each envelope as they come, and the system will properly annotate the records.

This comes in handy when a contributor gives one check for many funds, and just allocates the money on the envelope.
