wishlist for vs 11 - accts receivable
We have PC9, and the church runs a preschool ministry. We are running the parent's tuition charges through the Accounts Receivable module in PC9, and there are some things we would like added to the module.
1) recurring invoicing, just like in Fund Accounting or Accounts Payable, or auto-billing by fund account for a selected group of customers (tuition for the selected list of parents, dumped on a date each month)
2) reports to list just invoicing or just payments with detail on the invoices/payments and no detail on address/city/zip/etc. (right now, I dump the database into Excel and tweak it there)
3) memo areas for invoice and payment explanations (some parents pay ahead and need annotation of that fact, and I currently use the fund-acct description lines without putting in an acct number, so the info prints on the invoice)
4) statement reports with the option of invoice details printed (if a parent wants detail, I have to print a statement and a copy of each invoice, stapling the whole wad together, just so they can see in total what they owe for this or that); this would be a helpful option for any of the present reports, as someone other than me would not know what is invoiced, unless the amount charged is the same every month and they recognize the amount without a description
5) some sort of year-end reporting, like child-tax-credit, or reporting like the contribution module, where I can list the whole year's payments, and put in a note to print on each statement.
6) note: I cannot link my records with the membership module, because the A/R customers need to be linked by child and by parent. By putting the child's name in the 1st address line and the rest of the address in the following line, the current database does not match the A/R records. I
then have to manually search the PC9 membership database, and look for the parents in it, then I make a note in the customer record in A/R as to whether they are a member of the church or not.
I am the bookkeeper, and I work in PC9 every day. I do a lot of database dumping from A/R to Excel, so I can keep track of the charges for each student and parent (I have the student's name as the 1st address line, so I can sort by last-name-parent's first-name or by 1st-address-line-student-name, especially if one parent has two or more kids in the ministry), and keep track of how many payments were made for the year (for child-tax-credits at year-end).
It would be nice to have accounts receivable more user-friendly! Thanks for listening!

Another suggestion for version 11:
It would be nice to have the fund, envelope and contribution codes to have a greater number of digits (example: increase from 99 funds to 999) so a growing church can expand without having to restructure to make the church fit the confines of the program.
Our church is very organized in its setup, with fund codes for each ministry, so each ministry can have a P&L and budget tracking. As new ministries are added, we are facing the reality that we will be running out of space and will need to re-work some funds to accomodate the growth.
Also, if the A/R module doesn't get modified in version 11, I may need to look into changing the preschool's records to work through the pledging/contribution modules instead, and I will need more codes and envelopes to efficiently process the funds and create reports.

I would like to see an option to add "or current resident" under the person's name on a label. We were told the postal service will start charging for all returned mail. When we send out a bulk mailing, we really don't want to have returned mail and pay an additional postage charge. Our postmaster said that if we added "or current resident", the mailing would not come back, therefore, no extra charge.

Contribution funds = 1-99999
Accounting funds = 00-99 + any combination of letters A0, A1, ZA, ZZ, etc.
I think there might currently be more room for growth in there than you think!

Accounting funds are still limited to 99 in version 10 however.

you can do that now by creating a Custom Label format.
Update: 9:45pm - looks like I cross-posted with Zorak. Actually I didn't know about the use of letters in the fund, I learn as much as I help around here.

This is a relatively small matter, but I would like to see added to the Unposted Contributions Report the option to sort by Fund # (in addition to the options that are already available).
While I'm at it --
-- could you include the option (not default behavior) to sub-total when sorted by fund #.
(I'm aware the Funds Report can produce the info I'm looking for, but it would be more efficient if I could get it all in one report instead of two.)

You'll have to ungroup the label variables and move them around. Also. you'll probably have to change the font size to a smaller font.
