Chart of Accts funds to Inactive

Post by jorja920 »

Since we are a small church, we don't need all the accounts in the Chart of Accouts. Our accountant would prefer that the unused accounts not print when our chart of accounts list is run. I read on a past post that it is possible to deactivate unused accounts if there is no activity posted to the them. The manual does give a short blurb about this process, but I have not been successful in making it work.
Any suggestions? :wall:

Georgia,

There are two ways of doing this. If the account has NEVER been used, you can delete the account from the COA, or you can use the instructions in the manual or the online help to inactivate the account.

In either case you need to go into Funds Accounting, then Maintain Chart of Accounts. Locate the account you want to delete or inactivate using the LOCATE button.

When the account appears, you have the option to DELETE the account by clicking on the Delete Acct from Fund button. If you just want to inactivate, you have to click on the Details button. Note, if this account is setup across multiple funds, you have to do this for each fund listed.

On the Details page, you should see the Active checkbox in the upper right corner. It should show a checkmark. Uncheck that box then click on the Save button, then click on the Close button.

Either of these methods work under version 10.4.

Thanks for your suggestions. I really don't want to delete the accounts, so I think the inactive status is the way to go.
I went to the details page and, sorry to say, there is no box in the upper right corner. The details page has Acct No. and Description. Below are 3 folder tabs: Account, Activity (is grayed out and not accessible) and Budget. There is nothing to uncheck.
If I located our version information correctly, we have version 10, not 10.4. Is there another solution for version 10?
Thanks in advance.

Check to see when the last time a Maintenance Release was applied to your copy of Powerchurch ?? I suspect that is has been at least two years, as one of the previous MRs upgraded version 10 to 10.4.

All you need to do is download the latest version of the MR to apply all the changes. Go to this page: http://www.powerchurch.com/mr/ and have the registration number ready. You can find it by going into Powerchurch > Help > About Powerchurch.

Hope this helps.

There is no active flag for group accounts. Group accounts cannot have amounts posted and on reports if the detail accounts under this group are zero, then the group account is automatically removed from the report.

If you are sure you will never use the account and have not used the account in the past, you can safely delete the account.
