From your question, Mark, it appears you think the delete old data function works something like a backspace key. What the online Help file says, in part, is this:
Many organizations remove old transaction records from their accounting system as a way of reducing the size of their data files and improving system performance. You can also remove all your Fund Accounting data and start the Accounting system over from scratch. When deleting data, you need to be aware of the limitations and the potentially far-reaching effects of this action.
...
Only data from closed months can be deleted.
Thus, it would not accomplish what you had in mind.
Just wanted to clarify this point.

... except (lol) I pasted the info from the Delete Old Data / Fund Accounting help page, and this was a question about Contributions. So here is the Contributions info on Delete Old Data:
You can delete records from posted contributions to keep it from getting too large. You delete all the records within a particular date range. For instance, you might want to delete an entire year of data if you do not need to keep it in the system. You may also want to delete old pledge records.

rightfully so...so glad you pointed that out, Eden! I sure would like to streamline the books, but it just would create more hassle than I'm willing to deal with!

Frankly, anything older than 5 or 7 years (whatever the IRS requires can be archived. The best way of doing this is to do a backup, then remove the old data.
What we've done elsewhere was do the backup, and if necessary keep a copy on CD along with a copy of the installation CD for the version of Powerchurch we've been using, then it would be available by installing that version if we had moved on to a newer version of PCPlus.

thanks for the tidbit, Neil. I intend on putting a backup with the version 9 software once we upgrade to version 11...just in case.

What we did was keep version 9 around on the 'server' for at least a year, but removed all the desktop icons and any network access to it. It was available, but you couldn't confuse its icon with the new version's, and the networked 'clients' couldn't access at all.bookkeeper-sheila wrote:thanks for the tidbit, Neil.
