E-mailing Contribution Statements

I can e-mail through Profiles, but when I try to e-mail contribution statements, I get a "Contributions e-mail sent status" that reads "Relaying not allowed." What does this mean and how can I get statements sent?

When you say you can email through profiles, I'm assuming that you select on a Profile, and then click on the 'envelope' icon next to their email address. That system uses the email program setup on your computer, more than likely its MS Outlook.

When you send out bulk emails, like the contributions statement, you're using the built-in system, which needs to be properly setup so that it can access your ISP to send out emails.

The error you're getting is coming from your ISP, probably due to the Powerchurch email settings not properly setup to access the ISP using a secure port.

I would first check to make sure the settings for your ISP in Powerchurch are what your ISP expects. You can do this by checking your email server setup in Outlook.

Find out what Outlook as for settings, and let us know what they are. We can then tell you exactly what you should setup in Powerchurch.

Thanks for the quick response. My Outlook settings look like this. Account type---POP 3. Incoming mail server---mail.sunburyumc.org. Outgoing mail server (SMTP)---smtp.sunburyumc.org. User name is just my email address. I thought I had everything matching but. . . . . I appreciate any help you can offer. Thanks.

Carol are there any specific settings for the SMTP server ?? A specific PORT you have to use? That would be under additional or advanced settings. I don't use Outlook any more, so I forget what the exact wording.

You should look for the server settings and see if there is a PORT listed for the SMTP server. If so, let us know, but also add the port to the end of the SMTP server name in Powerchurch.

For example:

If Outlooks shows the server as using port #465

You should change Powerchurch to read:

smtp.sunburyumc.org:465

Let us know what you find, and if the change worked.

Hi, Neil.

Under Advanced Internet E-mail Settings (in Outlook) I found that the smtp server port is 25. Ever hopeful, I added that to my server name in PowerChurch and tried again. Alas, I still got the message "Relaying not allowed."

Now what?!

That's the problem ... 25 is a standard port, and is used by spammers. If your ISP has a SECURE port you can connect to, (usually something like 465 or such) then you probably would not see that error.

OK more questions:

1. Where are you trying to send these from .. the church, your home?
2. Who is your ISP?? I may be able to get to their help pages and see if there is another way of accessing.
3. Is Outlook setup to do a Get before SEND of email ?? Many times an ISP will check to see if a person has downloaded email from their IP address, before it allows a user to send mail. This also verifies that the person is not a spammer, but someone who has an email account at their location. Its not foolproof, but it stops a lot of address spoof SPAMs.

I can finally report success, thanks to you!! :D

I was wrong in reporting the port. Port 25 is the default, but email uses 2525. I added that to my outgoing server but it still didn't work.

In answering your questions, though, I noticed that in Outlook there was a box "My outgoing server requires authentication" that was checked. In PowerChurch there was a similar box that was not checked. I had checked that before but had no success. This time I checked that box and filled in the password the office manager gave me and used the correct port. It worked!! I successfully sent my own statement to myself. Now I am set for the second quarter statements. That should save us some postage!!

Finally!! Thanks so much for your patience and help!!

No problem .... there are a few different settings that need to be checked, which is why I always try to point to making sure that ALL the Outlook settings are reviewed when a question like this shows up.

In your case ... the 'authentication' box didn't help because you had the wrong port. When you got them both in sync, voila !

I can email individuals in their profiles, but when I got to email a contributions report the icon is greyed over and will not allow me to email the report. I am using Outlook 2007 and all of the categories match (SMTP, etc.). I have tried all of the suggestions you had given above. I added the port number after the SMTP address and the icon is still not showing up. I have made sure my personal settings allowed for sending emails, but it is only in "All Contribution Statements" that will not allow me to email. Other reports will allow email.

Please be a little more specific about your problem. What version are you using, What icon is not showing up or is greyed out and what window is it in? Any details about what you are doing and how you are doing it will help.

I am running PowerChurch version 11.1 . The "email report" icon is greyed out and it is only in the "All Contribution Statements" reports. In the drop down menu of "Contributions" I go to "Contribution - Reports" then I click "All Contribution Statements". I go through the steps to get me to the preview of all contribution statements, but the "email report" icon is greyed out.

The problem is you should be selecting to send them via email during the DIALOG that the program goes through to setup the statements.

There is a screen that will ask if you want to print or email the statements just prior to your pressing the FINISH button. That pulls in a completely different email system than the one you use for sending out copies of reports.

The email reports system uses your system default mail program to send out the reports. The Contributions Statement emails uses the internal mass email routines.

That is why you're seeing the grayed out email button on the final report.

What I would do is first preview the statements to make sure that they all look ok. Then exit, and go through the process again, when you get to that screen that asks: Process Statements As: that's where you will select send as emails.

Actually, the e-mail a report thing is sent from PowerChurch, not from your default e-mail program. The reason the button is grayed out on that report is because if you e-mailed that report as a PDF using that button, it would send a single PDF containing everyone's statement i.e. the 150 page report you are looking at on the screen would be e-mailed out.

It is a special e-mail sending process that happens with contribution statements to generate each person's statement as a separate report, save it as a PDF, then send an e-mail with that PDF attached to that person, then moves on to the next statement and repeats the process.
