Reversing Designations

Post by dadcowell »

Hi,

I know I can reverse posted contributions by entering a minus amount and all of the other similar information. When I do that and I run the designations report, I still see the origional posted amount. Anyway to eliminate that from the report? Will that show when I prepare the year end tax summary for that member?

When you did the reversal, did you include the designation when you did the negative entry ??
Which version of Powerchurch are you running ?? Have you applied any Maintenance Releases lately ??

I'm suspecting version 10, as you no longer need to do the negative entries in the v11 series. There you can use a Reverse Button much like that for Funds Accounting transactions.

Hi Neil,

Thanks for your reply. I am using 11.5 and I have downloaded the latest release.

I have reversed the entry in the reviewing posted transactions screen. Then I brought up the review unposted transactions and deleted the transaction.

When I bring up posted transactions the item is still there and still appears on the designated transactions list.

Bill,

OK .. let me get some clarification. In the Contributions module, there are unposted Contributions. In Funds Accounting, there are unposted transactions.

Exactly what did you reverse and delete, Contributions or Transactions?

Hi again Neil,

Sorry to be such a pain. OK, I reversed and posted and the totals for the donator reflect that reversal.

However, under "Reports-Contributions" "Designated Contributions" I show both the origional error and the reversal. Any way to eliminate both from showing on that report?

The system should have also removed that but the error and the reversal in the report does show the correction.

This may be a bug that has not surfaced before.

The support staff should see this thread, and pick up on it.

Since this is an internal report, like the Condensed Statements for Office, it will show both the original and the reversal by design so that a trail of what has happened to the designations is displayed.

Hi Neil,

Thanks for keeping me in the loop and thanks for your help and detailed research. It is so very much appreciated.

I understand the tracking reasoning.

I was using designations to track support donations for one of our missionaries. I had planned to give him a copy of the designation report. I did not want him to be involved in my testing entries and my errors. I guess I will need to find another way to communicate his doners to him. Maybe I can download the designation detail onto Excel.

FWIW .. if you have donors giving directly to a missionary, under IRS rules this is NOT a deductible donation. However, if the donors give do a missionary fund which is used to assist many missionaries, then the donation IS deductible.

Bill,

I have a similar situation where the report for designation has information in it that I do not want to be sending to the party I am compiling the information for. I export it to an excel file and do my editing there then save it as a PDF and send it on. Works fine and really only takes a couple of minutes to do unless you have a lot of data. The reason I save it as PDF is then I do not have to worry about the recipient having Excel and also the information can not be changed by anyone either on purpose or by mistake.
