Arggg.... Chart of Accounts

Post by peabodyumc »

Okay - we only one pastor however I can't remove the associate, the music minister, the youth pastor. So I decided to rename and number them to use how I need them. Sometimes it works well sometimes it doesn't. One thing I notice is that I try to renumber something and get an error message that that number already exists. When I go to locate and look at the list I don't find the number. So I do a find for the number and it tells me the number doesn't exist. So I go back to my account and renumber it to that number and again it tells me it already exists. What the heck is going on???? :?:

Thanks!! :)

If there are no funds attributed to those accounts, you should be able to delete them !! I take it that's not happening.

I am trying to renumber my pastor salary accounts. THe pastor's salary is 5061-001. I want to renumber it to 5060-000. It keeps telling me that number is already used. When I use "Find" and key in 5060-000 it tells me it can't find that number. So I can't find it to delete it and I can't use it becuase it is already used. How does that make sense???? :)

In the sample chart of accounts, 5060 is the Senior Pastor group account, 5061-001 is the Senior Pastor salary detail account. Try using the Locate function instead of find, it should be the immediately prior account. You might also need the latest MR, there was a problem where you could get the account number is in use message when it was not.

We were playing around with this today and you cannot delete this account because it is used in the payroll setup. Go to payroll maintain item descriptions and delete the payroll items for the associate pastor. It should then let you delete the accounts in Fund Accounting. We are changing the description to give more information as to why it could not delete the account.

Dependencies Report

Post by Kristi »

Laurie,
Version 9 has a great report to help you see where all your account numbers are "linked" in the modules:

Go to Fund Accounting-Reports-at the very bottom of the list is
"Account Depencies Report"

You will type in the Chart of Account number you are looking for in your program and it will list all the places it is located. This will help you to be sure you have looked everywhere.

When in doubt on any PowerChurch question...call tech support FIRST!!! It beats stressing and then calling. They are ALWAYS fast to respond with easy solutions!

Thanks Kristi,

I actually found that answer to someone else's question and printed the report but for a different account -- never thought to see if the one causing me problems was there. I will run that again and see if I can find it that way.

In the next maintenance release, the message will change suggesting that one have a look at that report.
