Hello! I'm wondering if there is a way in Accounts Receivable (AR) to print reports by description, or by item code. We've just started using the AR module, and we aren't sure how to make reports for specific events.
For example, we are collecting money for our camping trip in AR, and we want to also start collecting money for our Women's Retreat in the module too. We made an item number for the camping trip, but I can't find a way to print a report that will show me everyone who has an invoice, paid or unpaid, for this just the camping trip. I was looking for a way to filter by item code or description.
Is there a different way to make this happen? We thought about using the Customer Type, but we think that if we did that then someone who is going to both Camping and the Women's Retreat wouldn't be able to have two Customer Type numbers, correct?
Thanks in advance!

why are you using AR for this ?? Are you tracking payments ??
I'd just take in the money through Contributions, and create Contribution Funds that are outside the normal range of your funds. Then uncheck the "include fund on statements" checkbox.
In this way you can track by envelope number, you have all the information there, you can pull reports very easily, and you don't have to worry about creating customer types.

The way you described is how we've been doing it for years, actually!NeilZ wrote: Tori,

We were experimenting with being more "correct" accounting-wise. Technically Accounts Receivable would be used for money received in exchange for goods or services provided (non tax-exempt money). We can go back to just using Contributions, but we were thinking it may be better or even easier if we could learn how to do it in AR. =) Thanks for your feedback!

OK ... If I remember right, AR was designed for use in sales of items and stuff like that, and a customer is a customer with no differentiation. The customer type is optional, you really don't need to use it at all.
That said, it doesn't give you the granularity you need to pull up sales/invoices/customers by item number, which is what you're looking for. You may want to continue to use Contributions for now, and ask them to add such reports via an email to wishlist@powerchurch.com, either in an update to v11, or in any future version.
I was thinking that perhaps a custom report could be created, evidently the item number is not one of the selection data items that is available.

Thanks for your reply! We discovered that the pledges function of Contributions will generate the reports we want, so we are going to experiment with that. =)NeilZ wrote: OK ...
