Safeguarding envelope numbers

Hi,

I am opening up access to the membership module to our Pastoral and admin staff.

One concern I have is that the field designated "Envelope" cannot be protected from staff who have add/change access.

Is there any way to protect the envelope number from accidental erasure or change?

If the user has Add/Change or Delete rights to Personal Profiles, the Envelope Number field will be available to them.

FWIW .. I've found its a matter of training.

That said, users can't easily change the envelope number from Personal Profiles, its one of those places they can ADD a number to if its empty, but changing it takes a bit more effort than accidentally highlighting it then hitting a key.

I understand the answer is training, and that is what I am doing, however it would be helpful if that field could be password protected.

I can understand your concern, but really that type of granularity sounds easy to do, but can be very difficult to actually program. Perhaps in a future version, but I can't see it happening in the current platform version.

However, as I said. People cannot inadvertently change that field. I'm sitting here on my test system, trying to remove an envelope number by using the space bar, backspace, pressing a letter key. Just won't happen. People would have to actually press a number key in order to do any damage.

If they do that a few things could occur:

1. Yes, they could change the number to something else as long as the number they had inadvertently changed to has not already been assigned. This scenario can happen, but its very obvious that it occurred, the system asks if they want to save any changed data, so they would have to agree with any change. This is where the training comes in, and as such you have to have faith and confidence in your staff and Pastors.

2. They assign an envelope number to someone who hadn't had one before. In this scenario, the system would only allow a number that is not already in use. The worse thing that could happen is that they're given a number that is in the normal range of envelope numbers you issue. If the person in question is a member, no great loss, as they should have a number anyway. If the person is a visitor, the use of the number will become evident in a few months.

That said, in NO case will any data be lost. If the person already has a number and its mistakenly changed, all the data flows to the new number.
