Balancing Contribution Funds

Thank Neil,

Our situation is this. We enter weekly in our computer lab. There are 5 to six computers in the lab. (We are new & are using V. 9.). Usually we have six or seven people working on Sunday. (Four would be the lowest number). My wish has nothing to do really about who made an error.

We enter everything using envelopes as the input document. (We make up one if there is a loose check in the plate). Each person is responsible for his pile of envelopes & money. The money must balance with the envelopes. Since we have over 100 funds, the challage is to balance each inputed envelope with PC+ unposted report. So we must not only balance the total dollars but also the fund that each envelope is designated for by user.

Yes PC+ will tell us if all of the teams (inputers) are in balance in total, however it would be nicer if each inputer could tell if he was balanced by fund, without having to run a tape manually on each fund & also PC+'s unposted report.

Aha ... since the system does track who entered what, creating a report to do what you want should be possible. You may want to inquire to see if they would do a custom report for you, and what would it cost.

Next idea would be to have it added to the wish list.

There is no bulit in report that will produce the equivalent of the funds report by data entry operator. Prior to the 4/4/2005 MR you could not create this report in custom reports either because it didn't have access to the username field that tracked which user entered the contribution.

I have made a change in the 4/4/2005 MR and added the username field for unposted contributions custom reports. So it now would be possible to create a custom report like the one Tom was looking for.

It would be a fairly easy report to create. I am not certain however if this would solve Tom's problem. If the people entering the contributions only have contribution data entry operator rights, they will not have access to the custom reports in contributions. At least one person on the counting team would have to have regular access to the contributions module in order to run custom reports.

We just uploaded it during the lunch periods, the e-mail announcement should go out shortly. It is going through the final proof read now.
