I found another transaction that contained the other half. I don't know why I wanted them severally? Maybe due to ignorance.
They still should 'cancel' out .... are there any such transfers that equal the amount you're off ???

Unfortunately not. I have looked over everything and I'm clueless.
On the top part for deposits I see several transactions that are in balance, but for some reason show up there.

The church voted to move funds between accounting funds about two weeks ago. I have those appearing at the top of the reconsile. They have a debit and credit side though.

OK ... I really can't do much in the forum, as its hard to visualize what you're seeing.

What I want you to do this this:

1. Do a backup of the database, but only backup the ACCOUNTING files.
2. If you can, scan the bank statement pages (only those that actually have account data, not the back of the page that has a lot of other stuff) to a PDF file.

Send them both to me (email deleted).

If you're willing to do this, let me know in the next reply, as I'm then going to erase the email address from the post.

OK .. just from the first view of the bank statement, and what that does to your system, I would suggest the following:

Get rid of all the DEBIT Card currently held by everyone. This may go against the culture of your congregation, but debit cards do two things:

1. You never know how much you actually have in the bank account, as you don't always get copies of the transactions made to enter into the system.

2. You have given someone the ability to draw or spend as much as they want from the bank account without any oversight or approval. I know the argument that "but they've been members here for years", or "if you can't trust the pastor, who can you trust?". I can then point you to newspaper reports of 'long time members' spending church funds, and pastors taking off with the church bank account.

If they need to have something in order to buy things for the church such as gasoline, or lodging, or anything else, they should have a CREDIT CARD. You can get a business credit card that requires each person to assume full responsibility for its use. The church would get the bill, but the use of the card would be noted against each person using it.

The person using the card should then bring any receipt to you for you to enter into a credit card liability account to track. However, that's a whole different thing I'm not going to get into now, but just keep it in mind.

Part of the issue I'm seeing is that you're busy entering manual checks to cover all these debit purchases. Which can definitely mess up your accounting.

We are in the process of transitioning to a credit card. Something you said caught my attention. I have been entering the debit card transactions as direct transaction and not manual checks.

OH no, never a good thing. While you're probably putting the expense in the right expense account, you're losing any type of vendor history.

When you finally switch over to the credit card, there are some protocols you'll need to set in place, but we can go over that when you finally get the cards and are ready to distribute them.

Why are there so many reversals of contributions?? An auditor would have raised eyebrows over this!
