bank reconciliation

Post by Carol D »

I am reconciling my bank statement and I am 30 cents off. This is because I entered a check amount as 204.72 when it should have been 204.42. How do I fix this? I need to enter a transaction somewhere that is minus 30 cents right? Can I enter a manual check with a negative amount? Should I do it that way?
Thanks for any help.

I think you should reverse your original entry and enter it in for the correct amount.

Find the original check and VOID the check in Accounts Payable, then create a new check, using the SAME NUMBER and same date, but with the corrected amount in Accounts Payable, add an explanation of why the replacement was created in the note block. Post everything to Funds Accounting, then find the VOID transaction under Unposted Transactions, and add an explanation of why the void was created, then post those transactions in Funds Accounting. Go back to your reconciliation.

You're going to find the VOIDED check under Deposits, so clear that. Then you'll see TWO checks with the same number under checks. One of the checks will have the incorrect amount. Clear that as the VOID will cancel each other out. The other check will have the correct amount, so clear that.

This will clear everything from the system.

Thanks. I did all of that except making a comment in the notes section about why I was doing it. I did this before I read your answer. I will remember to note things from now on. I really appreciate your complete answers to questions posted here. They are very helpful.
Thanks again.
