Preformatted Deposit Slip

Post by Pastor Drew »

We are revamping our accounting and contribution process and have not been printing contribution reports in the past 4 years since I've been here but will be now..

When we select preformatted deposit slip, the information printed does not seem to be what we can use. Is there a FAQ or help topic that we can look at to learn how to set it up so we can print a deposit slip to take to the bank like we did at one of my former churches?

The preformatted deposit slip report is to be used with pre-printed laser deposit forms available from Dynamic Systems: https://www.four51.com/UI/Customer.aspx?p=Catalog , or other such companies. The layout is compatible with Quickbook deposit slips.

What you may want to use is the Default Report of the deposit slip which lists the check number (if you record that) the name of the donor, and the amount. It also supplies the total of all cash entries. What we do is verify the check amount and name, and the cash total with what we've entered. This provides another verification of proper entry.

We then send this in lieu of any 'adding machine tape' to the bank so if they find an issue, they can track it down also. We also print the laser deposit slip. We ordered a set with a white page to include with the deposit, and a yellow page to attach to the contribution reports for the day. When we print the preformatted deposit slip, we set it to print two copies, and load the printer with the forms.

Does this help?

Hello Again Neil, after all this time I finally have some offering counters willing to learn how to streamline the contribution entry and deposit, hooray.

Entering contributions with the check reader is going great, but our bank (Truist) rejects the Quick Books slips I ordered from Advantage Laser Products a year or so ago.
Despite several conversations they act like they've never heard of such a thing and insist we can only use their deposit book forms. :wall:
My wife who was a teller trainer/supervisor for 18 years compared the bank slips to the form and can see no reason the QuickBooks Printable Deposit Slips shouldn't work.

As an alternative, is it possible for me to format a custom report that would simply print the data on their deposit slips?

I experimented with creating a word document with a table that will print on the slips great, but of course we'd have to copy & paste the data into it which would be quite clunky.

I find that unusual, as many small businesses use Quickbooks deposit slips as part of their deposits. Is this the local bank telling you this, or from higher up in their system? You may have to reorder the deposit slip blanks from the same source the bank uses for their checks. I know that Harland Checks, and Deluxe, two of the biggest providers of checks to banks, both have Quickbooks type, one page deposit slips. That said, I have used these types of checks from a few different online sources, and banks such as Bank of America, Huntington, and PNC have accepted them without issue.

The only reason they would require Truist deposit slips is that their readers at the bank expect the required routing and account numbers to be in a certain spot, along with the number that looks like a fraction (/xx) in a certain spot with the correct numbers.

FWIW, there is an alternative. Print the deposit slip on plain paper as your copy, but also teach the counters how to enter that data into the bank's deposit book. That may be an option for now, but I'd raise that question much higher in the Truist 'food chain'.

Unfortunately, I don't believe that you can currently create a report to create that deposit slip.

Thank you Neil, that is what I think too on the branch personnel. And then when I asked if they had preformated deposit slips I could order and print they insisted the only thing available is the old fashioned book which we already have- it was like I was in a 1980's time warp. SInce my wife verified that the magnetic nubers are where they need to be, we will try again this week.

That's what I thought. I'd go 'over their heads' to a central customer service desk if there is one. :)
