Revise a donor envelope number

Question -

We have a married couple with different last names that have requested that we now separate their envelope numbers (for future donations starting in January, 2019). Up until 2018, we've combined their donations, and we are not planning, nor (per their request) do we need to separate prior year data.

What recommendations do you have for us to easily do that? The couple are living at the same address, with no changes in status, etc. They just want separate reports based on separate tax filings. Right now, they are listed as "John Smith & June Jones" in the integrated data entry screen, with the same envelope numbers. Can I just change the envelope numbers under the "Family Members" tab in the integrated data entry area?

I personally would ADD a new Family member to their profile
- put BOTH first names as the first name for that new addition
- add their old number to that family member
- THEN go back to each of their profiles and give them each a new number.

It would look like this:

1)James Blank #222
2)Jenny Blank #223
3)James & Jenny Blank #111

I would also put a note on #3 to say what happened.

Just remember to do it in that order! --- you can't give them new numbers until you create that 3rd family member w/ the old number

FWIW ... I would use a number for the old contribution information outside of your normal envelope number series. Also do NOT use a personal profile status of 'member' or any related profile type status other than 'friend of congregation' or 'visitor' so that it does not mess up any system totals of members, etc.

Neil - good catch on changing the member info. I changed the old names to “none” classification, and the new entries to “member”. Ran a contribution report test and bingo. All is well. Thx!
