Adding Members to an activity

I have been having a MAJOR problem with the V9 Version. I am the new secretary, so wasn't involved in the setting up of this system, but have learned a lot by just doing it.

I have added members to different classes - sometimes they print off on the register form, sometimes they don't. Today I entered a member in one class, no problem with printing out. In another class I added someone and they WON'T SHOW UP!!! :x The only real problem is that the teachers keep sending me notes "Misty, you forgot to add so-and-so" "Misty, I told you THREE weeks ago to add so-and-so" I'm at my WITS END on how to get them to show.

Also - I changed a class number and name and now when I click on 210 (their new number) it shows up as a 913. I deleted the 913, so it came up as 513. I deleted every role except the SS classes, and it shows up as 215 (the last one). When I click on 214, it shows as 213 (which I don't have) and clicking on 215 gives me 214. I'm ready to rip my hair out.

help me please.

It sounds like you haven't done a database reindex in a while. Do a reindex, then see what happens.

What's a reindex and how do I do that?

A reindex will recreate all the database indexes. From the way it sounds, your indexes are out of sync with the database.

You can reindex by heading to Utilities => Reindex => all files. This will rebuild all the indexes in your database.

Then see what data you pull up.

Okay - I reindexed this morning - and those names are still not showing up.

BUT - when I click on class 210 - class 210 SHOWS UP!! YEAH! :D

So - when I go to enter attendance - Ted's name is on the roll, but it doesn't show when I print the register. How can I fix that?

I would go into Ted's activities records, delete the existing 210 entry, then re-enter it, and see what happens.

I tried this with all three names in the two classes. I deleted, reindexed. Then added to the class. Reindexed.

They are still not showing on the report, but showing in the class on the computer.

Weird ... the only other thing I can think of is take a list of who belongs in that class, delete them all from the class, then delete the class.

Then start from the beginning ...

Now, the database gurus at Powerchurch may have another idea up their sleeve .. but I'd go through this as something you can do right now .

Find Ted's family in the Integrated Data Entry or Family Mailing List, make sure that the "Include in Membership Module Reports" option is checked. If this option is unchecked then every member of Ted's family will be excluded from every report in the Membership module including the attendance registers.

I'm glad that was it. The Include in Membership Modules option is to remove a family from reports without removing them from the database. For example, many churches/denominations have a policy where they don't remove someone from their roles until the receive a transfer letter from another church. Unchecking this options let you remove the family from the reports without removing their information from your database.
