Access Level Question

To keep it simple, I'll state my question only. What security level, if any, is required in the membership module to allow a user to add a new record (family and/or member profile) under the contributions module?

None !! All they need is Data Entry permission under Contributions.
This sets the required permissions needed to add and update membership records as needed.

This does not allow them access to any of the membership modules whatsoever.

Follow-up question(s):

Question 1:
If a Contributions:Data Entry Only user also has FULL access under the Membership:Profiles, does this same user while operating under the Contributions now have greater abilities than another Contributions:Data Entry Only user with NO Membership access?

Question 2:
How extensive is the Profile access for a Contributions:Data Entry Only user with NO access to Membership Modules? What areas/fields in the Profiles can this user change? I've always understood it was only to a very limited number of fields.

Another way of asking these questions is: What is the relationship between access levels in the Membership and Contributions modules? Does an increase level of access in one impact your access in the other?

Answer 1: Yes they do .. they can delete any mailing and personal profile records, but not through the Contributions module. They would need to go through the Membership module to do anything to fields not accessable under the 'Data Entry Only'.

Answer 2: They can add and update only. They cannot delete anything, and what they see are primarily the mailing list profile (main name and address, status code), and the name, personal profile status code and envelope number of the personal profile.

The easiest way to see what I mean is to go into the Contributions module, and then click on add a new contributor. Enter your LAST NAME in the first screen that pops up, then click NEXT. The system will tell you that there are a few people with that last name, and do you want to EDIT them. Click on EDIT, and then you'll get a list.

Select your name, and then you'll be able to see what they can add and edit. Its a small subset of the system, but it does do what is needed to add them to the system.

To answer your summary:

If someone is given the 'Data Entry' only access in Contributions. They can only edit certain fields, through the Contributions module. They will not have access to anything else as they do not have access in Membership to do anything.

If you grant someone additional access in Membership, they can access additional fields, but they can only do that by bringing up the specific function under Membership. Anyone with only 'Data Entry' persmissions cannot do that.

Does this make sense ??
