Setting up YTD Payroll for first 2QTRS 2013

Post by uufabookkeeper »

Our fellowship is on a July-June fiscal year. We just switched from QuickBooks to PC 11.5 effective July 1, 2013. I've been able to run payroll through PC for July's payroll. However, on the employee paystubs, the YTD gross wages and deductions only reflect July's activity. I don't quite understand the salary history screen and I really don't relish the idea of submitting/creating two W-2 forms for each employee at year end.

Is it possible to enter previous detailed payroll information into PC for the creation of W-2 forms at year-end after switching software in the middle of the calendar year? Just so you know, I have to restart my accounting setup :( anyway, so if this can be done at that time, I'm so open to it. I played around with a demo version for a month to get acquainted and familiar and still managed to make some mistakes. Oh well.

Any and all help is greatly appreciated and I thank you in advance!

Yes, it is possible to enter previous detailed payroll information into PC+. Since the effective date of your switch to PC+ is July 1 here is what you will want to do.

For all payroll checks issued from January 1 to June 30, reprocess these in the Payroll module. Then, when you go to post them, select the option to post to the Payroll module only. This will update the Payroll module for the first 6 months without creating accounting entries. This way, your beginning July 1 balances will not be impacted by the payroll postings, yet you will have the history needed to create the W-2's for 2013.

For July 1 going forward, reprocess these in the Payroll module. Then, when you go to post, select the option to post to Fund Accounting. This will update both the Payroll module and the Fund Accounting records.
