Our youth minister recently began using a Square reader to accept payments for youth activities, registration fees, and food reimbursements. I am trying to figure out how to record these payments in PCP.
We already accept online payments for tithing through Vanco, so I have a system set up for tithe payments through Contributions where General Fund (01-1110) is debited and Tithes & Offerings (01-4050) is credited. Once posted to FA, I record the processing fees in Fund Accounting- Enter Transactions by crediting General Fund and debiting Vanco Fees (01-5382).
With the Square payments, since they are not actually considered tithe, but payment for goods/services, would I still need to run this through Contributions or can I enter them through Fund Accounting, debiting General Fund (01-1110) the actual amount deposited in our bank account by Square (processing fees removed) and crediting the youth fund (01-6530)? Do I need to worry about recording the processing fees at all?

Since these are not contributions, but payment for goods and services, you shouldn't run them through Contribution, nor list them as contribution income (tithes & offerings). 1. You should not be crediting an expense account, which I'm assuming the 6530 account is, since some of the fees are for activities where funds may need to be paid out, these are liabilities. You would debit checking and credit the liability account. This would be done in Fund Accounting, however, I would think about using the Accounts Receivable module as it sounds like you would also need to track who paid for an activity.
2. Food reimbursements can be credited to an expense account as they are a reimbursement for funds paid out of that account, again this is not income. Again, this would be done in Fund Accounting. Debit checking, credit the expense account.
