Entering prior year data?

Post by Eden Whitehead »

I'm still a newbie so if this ranks as a really "duh!" question, please forgive me.

If I start out in PCPlus (ver. 10 w/latest MR) entering data for 2007 in both Contributions and Fund Accounting, will PCPlus allow me to later go back and enter data for 2006 (for historical comparisons)? Or will I have to install a second instance of PCPlus in a different directory structure with a different name?

Thanks in advance.

If your starting year is 2007, you cannot enter 2006 data. I believe that you should enter your data using 2006 as your starting year, then move forward from there.

However, to make it easier on you, I'd just run reports from your current accounting system for the prior year, with reports from PC+ for this year until you have one full year in PC+, thus in 2008 you'll be able to only use PC+ for the report.

Thanks, Neil. That was my initial plan, but as 2007 has moved along and I haven't :( in terms of getting up and running in PCPlus, I'm thinking I may go with your recommendation to just run reports from our current accounting system for 2006 and start by plugging in 2007 data 'cause I do want to get 2007 data in while it is still 2007! (The goal is to print year-end contribution statements from PCPlus rather than our current software.)

I appreciate your guidance.

FWIW ... I have to correct something. You CAN add Contributions data for 2006, but I'm very certain you can't add 2006 Accounting data if you set 2007 as your starting year in Accounting.

Hope that clarifies it. However, that's an awful lot of work depending on the size of your church, so using contributions data from your old program for a year would be much easier.

Thanks for the clarification. That's good info to know.

The church where I work is very small, which is why I thought entering last year's data as well as current year was do-able ... but that was several months ago. (Time out for major surgery interrupted my planned schedule for ramping up. :( )
