Lost Tax Receipts

Post by firstuc »

Canadian law requires that a new tax receipt indicating a "new" receipt number be issued whenever replacing an original tax receipt. We quite often have to replace tax receipts that have been lost or misplaced by the donor. An excerpt from the Canada Revenue Agency (CRA) Tax Bulletin IT-110R3 states: "Lost or Spoiled Receipts - To replace a lost official receipt, a charity may issue a replacement which must contain all required information (original information) plus a notation to the effect that “this cancels and replaces receipt # (insert the serial number of the lost receipt).” The charity’s copy of the lost receipt must be retained and marked “cancelled”. In the case of a spoiled receipt, all copies must be retained and marked “cancelled,” and another receipt may then be issued". Can this be accomplished within PowerChurch or how are others handling this problem?

As far as I can tell, there is no way to create a receipt with a different number, at least, when I tried on my test system by changing the computer date, the number remained the same.

I suspect that this could be a feature for the Canadian options added to the wish list, that is, when printing individual Canadian Tax Receipts that there be an option to create a new tax receipt number, and a new line added to the bottom of the receipt giving the verbiage about this being the replacement.

Hi there.
When you go to print an "individual contribution statement" - a box appears that says "do you want to print a message on each statement" - in that area - I put :
Thank you for your contribution in _____ (year)
**DUPLICATE RECEIPT**

Hope this help!

NeilZ is right. There is no option in PowerChurch to meet this Canadian government regulation. It is one of the pitfalls of being a registered charity in Canada using an American product. I hope PowerChurch adds a feature to allow for this to happen. There are a lot of good features in PowerChurch and I really like the product, but if we can't meet our government standards for receipts it really is no good for Canadian charities. Other issues include split-receipting and gift-in-kind receipts. The Canadian gov't has certain criteria that have to be met, but PowerChurch can't meet this criteria. Karin's reply is not sufficient for the Canadian government.

The only two possible solutions I have been able to come up with for the duplicate receipt problem is 1) ask PowerChurch for a custom report that would have this capability (not sure if this is possible) or 2) order paper from your local printer and have them put serial numbers on the paper. This would be similar to ordering pre-numbered cheques.

This would still not help with the split-receipting issue or gifts-in-kind issue.
