recording restrcted contributions

I'm not sure how to get the contributions into a temp. restricted ...
I will need to enter our week's contributions
in the contribution modual i would usually enter all the cash & cheques into fund #1 tithes & offerings
the total is $5626.67 when i post this it goes into 01 1110-000 general account (unrestricted)
but out of the above amount $1845.64 has be designated for outreach -am i supposed to put it all in as above and then move out the $1845.64 with a journal entry OR am i only supposed to to enter in the $3781.3 of the contributions this way and then have something set up in the designation field or fund type so when i enter the $1845 as a contribution with a designation it'll automatically go in the below lines??
i did create 01 3230-103 outreach Equity/asset
01 4230-103 outreach Income
01 4830-103 outreach Release
01 6400 is the expense
i just dont know how to put the $1845.64 into outreach or how to spend outreach money

Is the amount for 'outreach' designated by the contributor, or is it something that is a percentage of the amount given ??

The reason for the question is that there are a number of ways this can be handled, and your answer will help decide which one to list here.

Also, did you use the Chart of Accounts wizard to create the restricted outreach account, which then created the three accounts (equity/income/release) ??

the amount for outreach was 2 cheques put in the general offering basket specified for outreach.

when i set up the chart of account i had made one temp restricted for sunday school collections using the wizard so when i needed to make the outreach i just added them under maintain chart of accounts and followed the example of the other one. (but i may have done it under maintain list of donor restrictions... i have been reading and fiddling so much i dont remember which way i did it!!) and from reading through the article http://www.powerchurch.com/files/acct4contrib.pdf i thought i'd be good to connect them with the -103 to be able to run reports on each restricted accnt

I don't believe you really need the subaccount numbers in order to keep track of the restricted accounts, but that said, if you used the maintain list of donor restrictions wizard to setup the accounts all the proper accounts should have been created.

Now since these are contributions, you should have had a Contribution Fund setup in Contributions that is setup to Debit your normal checking account, and Credit the 4230 income account. When you post, the amount will credit the restricted income account, and you don't have to do anything else.

When you go to pay out the expense, you need to reflect that the money is coming from a restricted account, so you'll need to release the money when you write the check.

ah hah! that is what i'm missing ~a contribution fund i will try to add that!
so what is the designation feild in contributions??

in that article it talks about creating journal entries so i was getting confused... and was scared i'd be double entering in the contributions - once in the contribution mod. and then again in a journal entry...

The Designation field in Contributions can be used for a number of things.

Say you have a Contribution Fund for Memorial Donations. You don't want to create a new fund for each person who passes, but you want to show people who gave that the money is in memory of. Using the Designation Field will allow them to see that on the Contribution Statement.

Another use: you have a Contribution Fund for flowers. Normal usage is to cover the donation toward the regular flowers in the Sanctuary. However, at Easter you have lilies being purchased, at Christmas, you have Poinsettias. You can then Designate Lilies or Poinsettias then run off a report to show who actually paid for the flowers, or not ;)
