Transfer records from V. 8 to V.9

When upgrading to V.9 I purposely left the V.8 Icon on the desktop so that the Membership secretary could become familiar with the new version 9 but could continue using the V.8 until the end of the year. My thinking was it would be better to start V. 9 with the new committees that would start Jan. 1st. She keeps only the membership, mailing lists and attendance. She does not enter the contributions. All other workstaions and the server are on V.9.

Unfortunately, she simply continued with V. 8 and has made all the new entries. I know she could simply enter them again but I don't want to burden her with that.

I called Tech Support today and thought I understood the solution. He said to make a separate version of PC V.8, and then make a backup and then go to V.9 and do a Restore to get all of the files into V.9.

I was at my office working (not at the church) when he called back and gave me this information and I'm not sure I understood exactly what the procedure was after he said it.

In talking with the Mem. Sec. I learned she has a backup of the files she has put in V.8 - wouldn't these work? Just do a restore on the V.9.

Maybe one of you would be kind enough to send a reply on this if you can make sense of what I have written.

There must have been some confusion. A backup can only restore to the same version of PowerChurch that is was made from. So a backup made in version 8 cannot be restored in version 9.

If she just enters membership do any of the other people make any changes to membership? If they do, their is not a way to merge the changes together. If they don't make any changes to the membership there might be another way but the process would be a little complicated.

BTW what I mean by membership includes any information from the following modules: Family Mailing List, Personal Profiles, Activity & Skills, Attendance, Visitation, Ministry Services, and also adding new people from contributions module.

She does exactly what you have stated until you get to contributions. In our church setup there is no connection between all the modules you mentioned and contributions. Contributions are handled on a computer not connected to the others in any way. So merging them is not an option nor is it desired.

The membership secretary alone makes entries on her computer with regard to all of the modules (except contributions) you mentioned. You mentioned there is a process but more complicated that will allow what she has entered into V.8 to be transferred to V.9

One question arises: How, when converting to V.9, does information transfer from V.8? Surely it wouldn't be necessary to re-enter EVERYTHING again would it?

When installing Version 9, the first thing the system asks when you fire up PC+ the first time is if you are upgrading from a previous version. It is at this time you can then convert your older data. I

Some questions:

1. Have you already imported your Version 8 Powerchurch data into Version 9 ??
2. Why are you using a separate, non-networked computer to enter contributions ??

The reason I ask question 1 is easy to figure out .. if you did, just delete the Version 9 DATA directory, and the next time the system is fired up, you should get the upgrade question.

The second question is asked because this is one of the reasons we purchased Powerchurch in the first place here at APC. We had two separate computers and databases in use for membership and contributions. No way were they ever in sync, the one had data the other didn't, and the data it did have, was out of date.

I mentioned the contribution module because that is often the way new people get added to the database is by someone entering their name from a contribution. I just wanted to be sure there was no entry to the membership modules in version 9.

The other workstations that have been using version 9 are they networked sharing one copy of PowerChurch Plus?

To convert just her copy of the membeship and then combine it with the other modules from the other workstations:
1. Install a new copy of version 9 into a new folder.
2. When prompted convert the data from the membership secretaries computer.
3. In version 9, backup just the membership section.
4. Restore the membership backup into the existing version 9 on the other computers.
5. You can then cleanup the temporary install of version 9 used to convert the newer version 8 data files.

Yes, one copy on the main office computer.

To convert just her copy of the membeship and then combine it with the other modules from the other workstations:

I assume this would be a full copy to a different folder on the MAIN COMPUTER?

2. When prompted convert the data from the membership secretaries computer.

Okay

3. In version 9, backup just the membership section.

Okay, Understood

4. Restore the membership backup into the existing version 9 on the other computers.

Okay, understood

5. You can then cleanup the temporary install of version 9 used to convert the newer version 8 data files.

"Clean up" means delete that "temporary" install?
